Who has access to, and controls the processing of personal information?
Only designated personnel of PD-CA are authorized to collect, process, store, share and dispose personal data. All Personal Data maintained are for INTERNAL USE only and will not be shared to anyone outside the firm without the prior consent from the data subject and the firm’s Director.
What personal data is being collected and used?
- Personal Data collected from clients shall be limited only to their NAMES, COMPANY and CONTACT INFORMATION particularly email addresses and phone numbers. Client Personal Data are normally collected through online survey forms and email correspondences.
- Personal Data collected from employees and associates will be limited only their NAMES, HOME ADDRESS, CONTACT INFORMATION, EMERGENCY CONTACT INFORMATION and OTHER INFORMATION PERMITTED AND REQUIRED BY LAW e.g. TFN, ABN, Superannuation. Employee & Associate Personal Data are normally collected through employment records (e.g. resumes, curriculum vitae) and government required forms (e.g. TFN, ABN, Superannuation).
Personal data maintained by the firm MUST be willingly shared by the data subject e.g. client, employee and associates. Personal Data must be collected ONLY from authorized and legitimate sources. Any Employee or Associate found to solicit personal information through deviant means shall be subject to disciplinary action, or termination, including legal action.
What is the purpose of processing the personal data?
- Personal Data of Clients shall be primarily used for the analysis of customer satisfaction and the promotion of product & service offerings.
- Personal Data of Employees & Associates are processed for employment purposes, and for reasons required for the effective conduct of their duties, obligations and responsibilities.
How long will the personal data be retained?
Personal Data of clients, employees and associates shall be maintained as long as they provide relevant business and legal purpose. Once personal data reaches their useful life or have been found to be invalid and irrelevant, they shall be properly disposed through secure means e.g. shredding, deletion.
What are the rights of owners of personal data?
Owners of Personal Data i.e. data subjects have the right to be informed, object to processing, access and rectify, suspend or withdraw their personal data and be indemnified in case of damages pursuant to the provisions of the Australia’s NDB.
